How we handle data across EduLens websites, products, and mobile apps

This Privacy Policy describes how Zobel Solutions LLC collects, uses, discloses, protects, and retains information for the EduLens marketing website at edulens.net and for EduLens K-5 websites, mobile apps, APIs, and related school operations tools.
When EduLens K-5 is used by a school, district, or other educational agency, student records are handled at the direction of that educational agency. A school contract, data privacy agreement, or similar written agreement may provide additional or more specific privacy terms. If there is a conflict for school-controlled student data, that written agreement controls.
Marketing Website Information
On the marketing website, we collect information you voluntarily provide through our contact form:
- Name and email address
- Role and organization name
- Product interest selection
- Any message you include
We also collect basic website and security information, including page views, referral sources, general geographic region through Vercel Analytics, and IP address information used for abuse prevention, contact-form rate limiting, and security review.
EduLens K-5 Product Information
Depending on which features a school enables, EduLens K-5 may process the following categories of information:
Student and School Records
- Student names, grade levels, classroom assignments, enrollment, and guardian relationships
- Attendance, tardy, absence, arrival, pickup, dismissal, transportation, and plan-change records
- Classroom posts, comments, reactions, messages, announcements, forms, signatures, attachments, behavior events, rewards, progress notes, and calendar events
- Health office records, including parent-submitted health information, nurse visit logs, medication records, health alerts, and field-trip health rosters when a school enables those modules
- Emergency alert, safety drill, anonymous tip, audit log, device, and notification preference records
Adult User and Account Information
- Names, email addresses, roles, school affiliations, account status, authentication identifiers, passkey records, and Google Sign-In identifiers when used
- Device tokens, notification preferences, app activity needed for security and product operation, and optional parent profile photos when enabled by a school
- IP address, user agent, timestamps, and audit metadata for authentication, security, compliance, and abuse prevention
Visitor and Emergency Operations Information
- Visitor names, contact details, visit purpose, destination, host, check-in/check-out times, badge details, ID information, ID photos, visitor photos, watchlist status, and screening results when visitor management is enabled
- School emergency contact details, school addresses, location coordinates, triggered alert type, triggering staff member, headcount, resolution notes, SMS/email recipients, and dispatch status metadata when emergency alert features are enabled
How We Use Information
We use information only to operate, secure, support, and improve EduLens services and to comply with applicable school, legal, and contractual obligations.
Service Providers and Disclosure
We do not sell personal information or share personal information for third-party advertising. We use service providers to operate EduLens and disclose only the information needed for those services.

Push Notifications, AI, and Emergency SMS
Mobile Push Notifications
If a user enables mobile notifications, EduLens stores device tokens and sends notification payloads through Apple Push Notification Service or Firebase Cloud Messaging. Payloads may include operational notification content and routing data, such as student-related dismissal, attendance, behavior, message, health-office, visitor, announcement, or emergency context. Users can manage push permissions on their device and notification preferences in the app.
AI Features
Some schools may enable AI-assisted drafting or summary tools. Current K-5 AI features use limited prompt data such as teacher-provided bullet points, grade level, teacher name, student first name, attendance counts, behavior counts/categories, point balance, school name, total student counts, school-level attendance rates, and school-level behavior trends. We do not use AI features for advertising, and schools can disable AI features.
SMS / Text Message Notifications
EduLens K-5 includes emergency alert workflows that may send automated SMS to phone numbers configured by authorized school administrators, typically local police departments and school resource officers. SMS dispatch is used for configured emergency safety workflows, including Lockdown and Shelter-in-Place alerts, and all-clear notifications when an incident is resolved.
Message content: Messages may include alert type, school name and address, GPS coordinates or map link, approximate occupant headcount, triggering staff member, and resolution notes. We do not send marketing or promotional SMS through this system.
Opt-out: Recipients can stop receiving SMS at any time by replying STOP to any message. Re-subscribe by replying START. For assistance, reply HELP. School administrators can also remove a phone number from the emergency contact list.
Retention, Export, and Deletion
Marketing contact form submissions are delivered by email and are not stored in a marketing-site database. We retain related emails and security metadata only as needed to respond to inquiries, operate the site, and prevent abuse.
EduLens K-5 product data is retained according to school configuration, applicable school record requirements, legal obligations, and any written data privacy agreement. Schools may request export, return, deletion, or de-identification of school-controlled records according to those agreements and applicable law. Certain audit, security, legal, and backup records may be retained for a limited period where required or permitted.
Children and Student Privacy
The marketing website is not directed at children under 13, and we do not knowingly collect information from children through the marketing website. EduLens K-5 processes student information at the direction of schools for educational and school operational purposes.
EduLens K-5 is designed to support school compliance obligations under FERPA, COPPA, New York Education Law § 2-d, and similar student privacy requirements. Parents and guardians should contact their school or the EduLens privacy contact below to exercise applicable access, correction, deletion, export, or consent rights.
Changes
We may update this policy from time to time. Changes will be posted on this page with an updated revision date. For material product privacy changes affecting school-controlled student data, we will provide notice as required by applicable school agreements and law.
